Working together on Tasks
WorkSignals allows users to easily inspect their equipment and raise issues to the right people to get them fixed.
Firstly, how can a task be raised?
- A user can scan a QR code attached to a piece of equipment, and tap ‘Tasks’ to raise a general task
- An inspection can raise tasks for failing inspection items
- Expiry of a previous inspection can raise a task to complete a new inspection
What happens when a task is raised?
- A task has a linked asset, such as a vehicle or piece of equipment. The responsible person for the equipment is notified, via email or push notification. (FYI: There can also be a responsible department or business unit.)
- The task is assigned to the responsible person. When they open WorkSignals, they can see the open task. This person can also re-assign the task, and add working notes.
- The linked piece ofd equipment will be tracked as having an open task, so any staff can see at a glance that there are open work items.
What happens when working on a task?
- The person assigned the task won’t always be the correct person to complete the work. It’s easy to re-assign to someone else in the organisation to continue the task. We can also add more information, photos, documents such as PDFs.
- It’s easy to @mention people in the organisation to loop them in to the task progress and keep them across changes.
- Whenever a task is updated, people involved in the task so far will be notified by email or push notification. This makes it easy to follow up and follow through.
What about closing a task?
Tasks have statuses, and on completion of a task it should be changed to ‘Completed’. This triggers an update to stakeholders collected along the way, and updates the affected asset to remove the outstanding work item.
The task is available in WorkSignals for future accountability and tracking of the work carried out.
Are tasks configurable?
Yes, tasks are configurable just like assets and forms. They do not require configuration out of the box, but are completely customisable. We can dynamically add data fields to track steps in a workflow, gather signatures, collect documents and evidence.
Fields can be shown or hidden based on complex logic - for example display a “materials used” form section when the task is in progress, or a “costs” form section when the task is completed.
A further use case is different tasks for different failed steps. For example, a failed OH&S audit could raise a re-training task for the staff member responsible.
